JOB DESCRIPTION:

The Administrative Assistant to the Director of Facilities & IT supports the Director of Facilities & IT through a variety of assignments completed accurately and delivered with high quality and on time.

DUTIES AND RESPONSIBILITIES:

Primary job responsibilities include, but are not limited to:

  • Support the functions and duties of the Director of Facilities & IT
  • Maintain calendar and schedule for the Director of Facilities & IT
  • Liaison between Facilities & IT Director, Campus Pastors and HRC staff as needed
  • Assist the Executive Administrative Assistant to help manage the HighRidge calendaring process and submittals for all Campuses.
  • Maintain event, work order, IT, and other tickets through Facilities Management Express (FMX)
  • Support User Management in a variety of platforms including Microsoft 365, FMX, Zoom, Planning Center Online, and Jamf to name a few
  • Approve and manage time off of the Director of Facilities & IT downline
  • Present a working knowledge of various online ticketing, scheduling and database tools and the ability to master them promptly
  • Schedule meetings or training and ensure that all the logistics are completed ahead of time
  • Prepare and submit expense reports, mileage forms, check requests, and AMEX receipts for the Director of Facilities & IT
  • Work with Campus Directors and/or Facilities Staff at each campus to ensure all necessary supplies are ordered and appropriate inventory levels are maintained
  • Coordinate registration, lodging, travel, meals, and other details for conferences, as needed for the Facilities staff
  • Attend meetings as needed to take notes or support the Director of Facilities & IT
  • Photocopy, scan and print out documents as needed
  • Remain very knowledgeable of all office management systems and procedures
  • Various project management that supports the Director of Facilities & IT Initiatives
  • Any other tasks assigned

QUALIFICATIONS:

Qualifications include:

  • Skilled in Microsoft Office Suite
  • Efficient, Dependable, and Self-Driven
  • Teachable, flexible, works well with others, detail-oriented, organized high-level administrative abilities
  • Administrative experience preferred
  • Bachelor’s or Associate Degree preferred
